While the government and the media keep shouting ‘Keep your distance! For heaven’s sake, keep your distance!’, we feel the need to get closer to each other more than ever. This is the case in our private lives (my poor grandma is longing for a visit from her favorite granddaughter!), but also at work (my bosses cry every day because they can’t see their favorite colleague in person).
What is Whereby?

Where you used to invite a customer to your store or office, you now have to make do with email, telephone and WhatsApp. To a certain extent, these media are sufficient. But what if you want to quickly and easily hold a video meeting with (just saying) you as the manager, plus your product manager, plus your saleswoman, plus your customer?
However, there are videoconferencing programs that allow you to easily (and cheaply!) keep in touch with your customers and colleagues remotely. At Motionmill we have tested many of them. The program that scores best in terms of user-friendliness, applicability and costs is Whereby .
And for the suspicious souls among our readers, I will say in advance that we have no financial interest in promoting Whereby. There are no sneaky affiliate links in this article. The only reason why I am writing this article is that I want to help you.
And now, no longer delay: let’s immerse ourselves in the world of the online video meeting tool Whereby!
Whereby is an online video meeting tool
It replaces the physical office where you would otherwise meet or receive clients. With this tool you can meet from your browser in an online room. In addition to seeing and hearing each other, you can also send messages and share your screen.
A conversation in Whereby between two people might look like this (thanks to my colleagues Vincent and Mark for posing so beautifully):
How does Whereby work?
Using Whereby is easier than scratching an itch from your feet. You don’t have to download Whereby; it simply works from your browser. No hassle with downloading software.
In Whereby you have your own room with a unique link, for example whereby.com/motionmill. Only those people can participate with whom you share the link.
What do you need to do to get started with this tool?
Create an account;
Choose your plan: free, pro or business (more on this later!);
Give your room a unique URL;
Share the link with the people you want to meet with. An added benefit, your guests do not need to create an account to join the video conference.
There you have it, it’s that simple. After these four steps you can start meeting.
The different rates
At Whereby you have three different pricing packages: Free, Pro and Business. Depending on your needs you will of course need a different package. Will you get by with one room? Is it important that you can record your meeting? Is one user sufficient? I will give you a tip about the last question, one user fortunately does not mean that you will meet alone. By this they mean that only one person can use the account and invite people to the meeting.
Free
With this package you have one meeting room and one user
You can meet with four people, share your screen and play YouTube videos. Do you prefer to meet via your smartphone? That is possible. You can participate in meetings via both your mobile phone and your computer.
Pro
This package has the same options as the free plan with the why you can’t promote a non-original brand addition of a few extras. For example, you still have one user, but three rooms at your disposal. You can brighten up these rooms with a background and your logo. You can meet with twelve people here and use Trello, Google Drive and YouTube in your meetings. Are you stuck somewhere? No problem, the Pro plan has a premium support function where you can go with all your questions. For an additional $5 you can also record and download your meeting.
Business
The last and most comprehensive package is the Business plan. Here you have the same options as the previous two packages with the addition of a unique self-chosen domain name instead of a link for your rooms. You can meet with fifty people, twelve of whom with video and the rest only audio. Depending on the meeting, you can choose between a personal room or a shared room with the team.
In addition to Trello, Google Drive and YouTube, also dy leads share your calendar with the participants. Recording a meeting is included in this package; so you do not have to pay extra for it. With this package, you have priority over the other packages with problems or questions. Whereby offers a priority support function for this package.
Some more tips
Finally, I have a few tips to make your video meeting completely up to par:
Choose a recognizable name when giving your room a URL. For example, use your company name as part of this link;
With the free plan, you can only create one room
Want to prevent people from entering the room at the wrong time? Set your room to “lock” or closed so that guests have to “knock” before you can let them in or turn them away.
Want to extend the atmosphere of your physical office into your online meeting? Give your room some color by adding a logo and background. This is only possible in the Pro and Business packages.
